The challenge
Appointments were confirmed by phone one at a time, and slots freed at the last minute stayed empty. Every no-show was an hour of work lost.
How it was done before
The calendar lived on paper and in the head of whoever answered the phone: confirmation calls the previous afternoon, and an informal waiting list kept on loose notes.
What we built
- The booking comes in through the website and is written straight into the professional's calendar.
- Confirmations and reminders go out via WhatsApp and email at the agreed moments.
- If someone cancels, the slot is automatically offered to the waiting list.
- Every week a summary goes out with occupancy, cancellations and recovered slots.
Human oversight
The professional can block slots and veto reassignments from their calendar; messages to clients come from approved templates, and any client reply is read by a person.

Outcome (expected)
The specific metrics — hours recovered, errors avoided, response times — are agreed at the start of each project and measured afterwards. This scenario is illustrative: we do not publish figures we cannot back up.
Limits
- It does not negotiate schedule changes: it offers available slots and records the choice.
- It requires the professional's calendar to be the single source of truth.
- WhatsApp reminders depend on the official API and its approved templates.
